New Procedures for Printer Service and Toner Replacement:
The Medical University of South Carolina has implemented a comprehensive Printer Maintenance to support the long term care of our printer population. This Program will help to insure that as a company, we do everything possible to improve the overall quality of our printed documents as well as reduce our printer long-term cost of repairs. The Program, administered through The Office People, includes response to all printer related issues whether it is a printer repair or low toner need. The Office People utilize a web-based application that remotely monitors the operational needs of all of our networked print devices. Consequently, they can be very responsive to our needs and your requests. Each machine will be tagged with contact information and the asset ID.
The procedures for toner replacement or printer service are as follows:
Printer Service Procedures:
If you experience any printer related issue, please email The Office People’s help desk at service@theofficepeople.com and supply them with your printer’s asset ID (which appears in black type on the white label) along with a brief description of the problem (i.e. Print quality issue, noise, or error code on machine, etc.). In the case of error codes, The Office People may already be aware of the problem. Error codes contain information so if possible include the exact letters/numbers displayed. In the case of image defects such as stripes on the page, etc, you may contact them by phone or email to report the problem with a scan of the issue if available. TOP will in turn dispatch a technician to resolve your printer issues. Expect them on site within two business hours or less.
Remember, everyone should be networked to at least one secondary printer to handle emergency print needs.
Toner replacement procedures:
Please do not change your toner at the first sign of your printer’s low toner signal. Most machines will alert you of its low toner status long before a cartridge actually needs replacement. Many machines will blink low toner for days. Our goal is to maximize each toner and to replace it only when completely empty or print quality starts to become an issue. TOP can tell you the percentage of toner left in the cartridge on many of our devices on the network.
We will deliver backup toner for each printer as the printer approaches 50% toner level. In most cases, TOP will already be aware of a toner change out of your printer, if because of a print quality issue we encourage the end user to send a quick email to confirm. Please if possible write the date the toner was changed on the outside of the toner boxed and “USED”. This allows them to easily spot the empties and pick them up at the next delivery.
